POSITION SUMMARY:

The position serves as the internal business partner and primary point of contact for executives, sales/business development, account management and operations teams, in the management and support of business operations and automation tools. Key responsibilities will include driving process and system improvements, a continuous focus on data integrity, the implementation of enhancements, and the support of existing systems and processes. Leveraging knowledge of company products, services and technology, the candidate will manage daily activities of the client on-boarding process delivering value throughout the client journey by ensuring that all aspects are handled in an accurate and expeditious manner while delivering a great customer experience to internal stakeholders. 

RESPONSIBILITIES:

  • Responsible for owning the administration of ancillary sales, operations, and automation tools (JotForm, Pipedrive, JIRA, Smartsheet, Confluence, Tempo, Zapier)
  • Subject matter expert of and primary contact for all tools and platforms
  • Assist with the integrations between all tool sets, continually looking for ways to improve on existing integrations and flows, and managing any errors or outages with impacted team
  • Identify opportunities for process improvement within all tools
  • Responsible for collaborating with key stakeholders across the organization to establish cohesion across systems and processes
  • Responsible for managing, maintaining, and growing a content repository of training materials (how-tos, definitional resources, and more)
  • Responsible for maximizing functionality and adoption of these tools
  • Research and present new solutions that could replace or supplement the current stack


KNOWLEDGE, SKILLS & ABILITIES:

  • B.S. degree in Accounting, Finance, Business Administration or similar discipline
  • 2-3 years of work experience with business operations systems (e.g. form builders, CRM, project management, time tracking, collaboration tools, workflow automation tools, etc.) 
  • Proficient in Microsoft Office Suite and Google Workspaces 
  • Experience with reporting and BI tools and setting up dashboards (e.g. Tableau, Data Studio, etc.)
  • Comfortable training and presenting in front of groups
  • Ability to lead ad hoc projects focused on process definition and continuous improvement
  • Detail-oriented with solid analytical and complex problem solving skills
  • Strong organization skills and the ability to effectively prioritize and multi-task
  • Excellent interpersonal skills and comfortable interacting at all organizational levels
  • Self-motivated and willing to take the initiative to seek out solutions
